Facility & Safety Coordinator

As Facility & Safety Manager, you are responsible for keeping people safe at their work sites, develop policies and procedures to make sure people aren't harmed by their jobs, investigate and report accidents, and provide guidance to leaders on how to comply with the law. You may also take responsibility for health-related projects, such as organizing talks and training for staff.
Other typical responsibilities of the job include:
  • Investigating health-related complaints and cases of ill health
  • Carrying out risk assessments and site inspections
  • Ensuring that equipment is installed correctly and safely
  • Identifying potential hazards
  • Determining ways of reducing risks
  • Compiling statistics and writing reports
  • Running health and safety meetings and training courses for employees
  • Liaising with external health and safety authorities
  • Keeping up to date and ensuring compliance with current health and safety legislation.
As Facility & Safety Manager, you are in charge of the company operations support by maintaining & organizing efficiency by planning and implementing office systems, office operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions and equipment procurement.
You are also responsible for:
  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • directing, coordinating and planning essential central services such as reception, security, maintenance, mail, archiving, cleaning, catering, meeting room, office space, waste disposal and recycling;
  • Completes operational requirements by scheduling and assigning employees; following up on work results.
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
  • Maintains office staff by recruiting, selecting, orienting, and training employees.
  • Achieves financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions.
  • Contributes to team effort by accomplishing related results as needed.
  • Take care of measures for internal control compliance.
  • Manage and implement general procurement activities.


  • Min 2 years exp. in a related domain, preference in a big company
  • Knowledge of administrative services (such as RE, IFM, catering, dormitory, vehicle, and asset) is a plus
  • Have general knowledge of finance and internal processes control is a plus
  • Team management and leadership
  • Good communication skills and strong project management capabilities
  • Strong analytical and problem-solving skills
  • IT literate, Eye for details
  • Good interpersonal skills and a willingness to work with people at all levels of an organization
  • Leadership, influence, internal control sensitivity, initiative and cooperation spirit
  • Fluent in Dutch & English, French is a plus
  • You are willing to work in Leuven and to move to the Gent site when necessary.
