Hospitality officer - Bruxelles

Functie

The following tasks will be handled by the Hospitality Desk and/or Information Desk. Service Provider will determine how to manage the different tasks between the different desks.

The Service Provider processes the following tasks:

  • Call management;
  • Meet, greet and register all guests and visitors with a tool provided by the Client;
  • Issue access badges to all visitors and contractors working at the premises and collecting these upon their departure;
  • Ensure visitors receive the Health & Safety instructions together with their badge;
  • Booking and management of meeting rooms, shared spaces, last minute meeting requests;
  • Booking and management of staff car parking;
  • Booking of taxi reservations;
  • Booking of catering and ensure this is processed correctly by the catering team and follow up with possible complaints;
  • Complying with and supporting the operation of all policies and procedures regarding check ins/outs, safety, emergency procedure, ...;
  • Managing of logistics: receipt and log all in/out going mail, packages, ... and liaise with mailroom staff to ensure quick delivery;
  • Operate the switchboard and follow the correct procedure for transferring calls;
  • Administrative tasks such as census, cross charging of orders, equipment requests (for meeting rooms), ...;
  • Training of new Hospitality officer on site;
  • Create a manual for the hospitality team and information desk team and keep it up-to-date at all times;
  • Maintain a clean and tidy office environment;
  • Coordinate meeting room support AV, IT and/or catering as well as facilities related requests (i.e. meeting room lay-out) with the respective teams;
  • Raise housekeeping issues relating to collaborative spaces to relevant parties and track completion.

The scope may evolve in the future according to the business needs.

  • Specific support for meeting space reservations (meeting rooms, focus rooms, video conference rooms, other spaces): Process of reservation requests for work spaces (meeting rooms, focus rooms). This management is carried out via a tool provided by the Client, listing the type of space and the duration of its use.
  • Manage "WAIT LIST";
  • Optimize room allocation;
  • Manage conference means and videoconferencing support;
  • Assist and advice (setting up facilities, video shoot, ...).

Support to Employees:

  • Response to emails of employees;
  • Respond in person to all questions internal clients may have regarding the internal organization of Accenture. Main resource: information available on the BeLux portal
  • Support and manage:
    1. Catering requests
    2. Dispatch faxes to interested parties;
    3. Requests for equipment for outdoor meetings (hardware ......);
    4. Distribution of registered letters, parcels, reprographic work, business cards, …;
    5. Requests for sending urgent letters and parcels, registered mail ...;
    6. Booking taxis.
  • Allocation and management of lockers: switch and release lockers, update allocations tracking file, send mail to colleague, scan and card keys;
  • Organization of the building visit, including the presentation to the new employees (45 minutes visit - 5 visits per month).

Activity Tracking

  • Analyze and report the occupancy via our sensors/software;
  • Recording activity indicators (resource reservations, occupancy levels,…);

The number of calls, the number of missed calls, the number of emails/requests treated per employee of service provider.

  • Editing and backup reservation requests D + 1;
  • Reports providing analytical follow:
    1. Process of applications for intervention.

Profiel

  • Je bent drietalig Frans / Nederlands/ Engels
  • Je bent goed gepresenteerd, dynamisch, gemotiveerd en discreet;
  • Je bent een stressbestendig persoon die gemakkelijk prioriteiten stelt;
  • Je bent in staat om snel veel informatie op te slaan en er prioriteiten aan te stellen;
  • Je bent communicatief vaardig en je kan zelfstandig werken;
  • Je hebt een goede kennis van de computertools (Outlook, Excel, Word, Kaba, enz.)
  • Je bent flexibel en kunt werken met een gevarieerd schema
