As Facilities and Fleet coordinator you will be the right hand of the Operations Manager. You will coordinate the Logistics and Reception teams to assure the best in-office experience for all colleagues and visitors.
You are also our events expert, linking the dots between event organizers, the reception, the logistics and IT team.
You are the link between the Global Travel team and our local teams, you drive improvements, communicate changes or important updates, flag and solve issues and build relationships with the local travel suppliers. You help develop and update the travel training for colleagues and coach a team of assistants to deliver the training.
As Fleet coordinator you handle the day-to-day management of the company car fleet, and interact with various internal clients and stakeholders as well as external parties involved, streamlining the existing offering and processes in place.
Finally, you will manage different types of (internal) projects on request such as annual review of vendors, improvement of office services and tools

You will:
Work closely with the Operations manager, logistics team and landlord to stay on top of any issues or updates with regards to the building
Coordinate day-to-day activities of the logistics and reception team. As a senior team member, you will help prioritize and be the first point of contact for questions from the teams
Liaise with the reception outsourcing supplier on quality of service and capacity planning
Evaluate and optimize internal office processes e.g., Internal event coordination process
You will actively build relationships with suppliers and review the collaboration. You will keep an eye on the market, always on the lookout to find the best suppliers at the best conditions.
Manage specified initiatives within the office to elevate service delivery to local staff and visitors and ensure a high-quality office experience
Ensure a healthy & safe office environment by actively scanning the office environment to ensure compliance with regulatory and company policy needs such as fire security, first aid team etc.
As an active member of the BRU Green team you champion recycling, lead energy efficiency and other projects to align with the company's carbon neutral targets
Manage short- and longer-term views of demand for office meetings / events, managing the office event planning (and prioritizing when required), define an efficient working model between the different support teams to help deliver high quality support for in-office events. As a member of the iComms and bonding team you will have the full view of office activities and can help where needed.
